Synema acts as a data controller with respect to account information, billing data, and platform usage data.
Synema acts as a data processor with respect to Customer Content, processing such content on behalf of users in accordance with the Services and the Terms of Service.

3.4 Derived and Analytical Data
Synema generates data derived from Customer Content and platform usage, including transcripts, tags, embeddings, summaries, classifications, analytics, and system intelligence (“Derived Data”). Derived Data may not directly identify individuals but may be informed by Customer Content.

5. AI & AUTOMATED PROCESSING
Synema uses automated systems, including artificial intelligence and machine-learning models, as a core component of the Services.

Identification and recognition of faces, voices, speakers, people, objects, products, logos, and other entities appearing in Customer Content

Such identification and recognition is performed solely to enable creative, organizational, analytical, and workflow features within the Services and is not used for identity verification, authentication, advertising targeting, or law-enforcement purposes.

5.1 AI Training and Model Improvement
Synema may use Customer Content, Derived Data, and usage data to train, fine-tune, and improve its AI models and systems, including models used across customers and workspaces.
Where feasible, Synema applies safeguards such as aggregation, minimization, de-identification and, where possible, anonymization, as well as technical and organizational controls. However, Customer Content may contribute to improving Synema’s AI capabilities globally.
If you do not want your content used in this way, you should not use the Services.

5.2 Human Review
AI processing is automated by default. Limited human review may occur for system improvement, support requests, security investigations, or legal compliance.

6. BIOMETRIC, VOICE, AND VISUAL DATA
Customer Content may include voices, faces, or other visual or audio characteristics. Synema does not use such data for identity verification or biometric identification. Any analysis of voice or visual features is performed solely to deliver functional features within the Services (such as transcription, tagging, story analysis, and user-initiated search and organization of content), as well as to improve the Services over time as described in this Policy.
7. LEGAL BASES FOR PROCESSING
Depending on jurisdiction, Synema processes personal information based on one or more of the following legal bases:

Synema is not responsible for the privacy practices of third-party services.

Customer Content may be stored across distributed systems, including cloud-based and hybrid storage infrastructure, and may be replicated for performance, redundancy, backup, and disaster recovery purposes.

11. INTERNATIONAL DATA TRANSFERS
Synema operates globally. Information may be transferred to and processed in jurisdictions outside your own, including the United States. Where required, Synema relies on appropriate transfer mechanisms and safeguards.
12. DATA RETENTION
Information is retained for as long as necessary to provide the Services and fulfill the purposes described in this Policy.
Following account termination, Customer Content will be deleted or anonymized within a commercially reasonable period, subject to retention required for backups, security, legal compliance, audit, or dispute resolution.
13. SECURITY & LOGGING
Synema implements reasonable administrative, technical, and organizational safeguards to protect information. We may retain logs and records of system activity, access, and processing for security, compliance, abuse prevention, and service integrity purposes.
No system is completely secure, and use of the Services involves inherent risk.

14. MERGERS, ACQUISITIONS, AND STRATEGIC TRANSACTIONS
We may share or transfer information, including personal information and Customer Content, in connection with or during negotiations of any merger, acquisition, reorganization, sale of assets, financing, partnership, or similar transaction. Any transferred information will remain subject to protections consistent with this Privacy Policy.
15. YOUR PRIVACY RIGHTS
Depending on your location, you may have rights to access, correct, delete, restrict, or object to processing of your personal information, as well as rights to data portability and withdrawal of consent where applicable.
